Industry
Cross-industry / internationally active organizations
Work area
Internal Communication, E-Learning, and AI Automation
Scope
Multilingual intranet, centralized LMS, and AI-powered video translation
Initial situation
Decentralized platforms make collaboration more difficult
Initial Situation
Internationally active organizations often rely on siloed solutions that have evolved over time. Individual countries or organizational units operate their own intranet platforms, use different learning management systems, or manage training content in a decentralized manner.
This gives rise to typical challenges:
- Information and best practices remain confined to individual countries or organizational units.
- Employees and partners have limited opportunities to exchange ideas across borders.
- Training content must be translated and adapted separately for each market.
- Videos, subtitles, and audio tracks are adapted through time-consuming manual processes.
- Different platforms make it difficult to maintain consistent learning and quality standards.
- Integrating new languages and markets requires significant effort.
Particularly in decentralized organizational and franchise structures, this fragmentation can hinder not only knowledge transfer but also cross-border collaboration and joint business expansion.
Objective
The goal is to create a shared digital platform through which international teams can exchange information, share knowledge, and access training opportunities.
The multilingual intranet serves as the central hub for communication and collaboration. The integrated learning management system provides training and learning content in a standardized manner. An AI-powered translation pipeline automates the translation of course videos into various target languages.
This connects three previously separate tasks:
- international communication and collaboration
- centralized management of training content
- automated translation and publication of multilingual courses
Description of the Use Case
1. Centralized, multilingual intranet
In the first step, the existing siloed systems will be replaced by a standardized, multilingual intranet. The platform creates a shared digital space for employees, partners, and franchisees from different countries.
Users can exchange ideas, engage in discussions, and share experiences or best practices across national borders. As a result, knowledge is no longer limited to individual locations or markets.
The intranet evolves from a mere repository of information into an active tool for collaboration and networking.
2. Integrated Learning Management System
The central LMS consolidates training and learning content on a single platform. Courses can be managed, updated, and made available to different countries in a standardized manner.
Whether an existing off-the-shelf solution is sufficient or a custom-built solution makes more sense depends on the technical requirements and the desired level of automation. A custom LMS solution, in particular, enables deeper integration of AI-powered translation processes.
Ziel ist eine intuitive Lernumgebung, die internationale Standards unterstützt und gleichzeitig für zusätzliche Sprachen und Funktionen erweitert werden kann.
3. AI-powered translation of training videos
The LMS is connected to an AI pipeline for automated course translation. The translation process may involve several consecutive steps:
- The audio track of the training video is automatically transcribed.
- Subtitles are generated from the transcript.
- The text and audio are translated into the desired target language.
- The translated audio track is integrated into the course video.
- Lip movements can be adjusted to match the respective target language using lip-sync technology.
- After approval, the finished course is published in the required formats.
This allows multilingual training offerings to be delivered more quickly, without having to completely re-produce each video for every target market.
4. Quality Assurance Through Human-in-the-Loop
AI-generated translations are not published without review. Managers from the respective countries or subject areas review the generated content and can adjust translations, pronunciation, or technical terms.
Only after this review is the course finalized and published. This “human-in-the-loop” approach combines the speed of automated processes with human oversight of content and language.
Value Proposition
Prerequisites for Implementation
To ensure a successful rollout, the existing system landscape and business requirements should first be analyzed. This includes, in particular:
- existing intranet and LMS solutions
- available training videos and course materials
- required target languages
- responsibilities for business validation
- requirements of individual countries and organizational units
- desired level of AI automation
- Requirements for collaboration and international networking
Based on this analysis, a decision can be made regarding which existing systems should be integrated or replaced and whether a standard solution or a custom-built solution would provide greater value.
Opportunities
- Faster international dissemination of knowledge
- Reduced effort required for multilingual training content
- Improved collaboration between countries and organizational units
- Consistent learning and communication standards
- Expandability to include additional languages and features
- Stronger networking among decentralized teams and partners
Risks
- Low user acceptance among highly autonomous organizational units
- Differences in technical terminology, pronunciation, and regional accents
- Inaccurate AI translations without adequate quality control
- Development effort required for a custom LMS solution
- Unclear responsibilities in the review and approval process
Case Study: Central Intranet and AI-Powered LMS at RE/MAX
The approach was implemented in a European franchise network. Previously, individual countries had been using separate intranets and learning platforms. Training videos and courses had to be translated for the largest markets, which was both time-consuming and costly.
As part of the implementation, a standardized, multilingual intranet was created. In addition, a new LMS was developed within two months and integrated with an AI pipeline for transcription, subtitling, audio translation, and lip-syncing.
The results documented in the reference project:
- Development of the new LMS within two months
- Delivery of a fully translated course within three days
- Reduction of translation costs to less than one-third of previous expenses
- Significant reduction in the time-to-market for multilingual courses
- Closer networking among brokers and employees across Europe
The reference project was developed in collaboration with the Solution Partner Timeless Soft.
In short:
A multilingual intranet with an integrated, AI-powered LMS brings together international communication, collaboration, and professional development on a single central platform. Automated video translations reduce manual effort and speed up the delivery of multilingual courses. At the same time, a human review process ensures both subject-matter and linguistic quality.
The result is a scalable digital work and learning environment for organizations that want to make knowledge accessible across national and linguistic boundaries.
